๐ŸŽ“ Create Lecture Recordings with Microsoft Stream

๐Ÿงญ Overview: This guide walks CCRI faculty through the process of recording lectures using Microsoft Stream and Clipchamp, enabling secure sharing and accessibility compliance in Blackboard.

Microsoft Stream is a powerful media tool for recording, editing, storing, and sharing video content within CCRI’s Microsoft 365 environment. It now includes auto-captioning, enhanced editing tools, AI-driven features, and improved sharing workflows.

โœ… New Tip: While embedding videos in Blackboard can sometimes prompt student login screens due to tenant issues, sharing via the Web Link option allows students to bypass login if they choose. This method also displays the transcript panel alongside the video, ensuring WCAG 2.1 compliance without requiring a separate transcript upload!


๐Ÿ”‘ Step 1: Access Microsoft Stream

  1. ๐ŸŒ Go to MyCCRI, and sign in to your CCRI Email (Outlook)

  1. ๐Ÿงญ From the Microsoft 365 App Launcher (waffle icon), select Stream. If Stream isn’t listed, click More Apps to find it. ๐Ÿ“Ž Alternatively, go directly to https://stream.office.com

๐ŸŽฌ Step 2: Start a New Recording

For this guide, we’ll focus on screen recordings for lecture capture (e.g., narrating PowerPoint presentations). To record only yourself speaking on camera, select Camera Recording instead.

๐Ÿ’ป For Desktop Screencast Recordings (Lecture Capture)

  1. ๐Ÿงญ From the Stream homepage, click Create > Screen Recording

  2. ๐Ÿš€ This will launch the Clipchamp  recorder.

  3. ๐Ÿ”’ Allow browser permissions for your screen, camera, and microphone.

  4. ๐ŸŽฅ In Clipchamp:

    • ๐ŸŽž๏ธ Choose layout: screen only, camera only, or screen + camera (PiP)

    • ๐Ÿ”˜ Toggle the camera for PiP.

    • ๐ŸŽจ Customize with backgrounds, filters, or overlays if desired.

  5. โ–ถ๏ธ Click Record Your Screen ๐Ÿ’ก Pro Tip: Open a new browser tab or application window with the PowerPoint (or other content) you plan to present before clicking Record. This ensures it's ready to select when prompted to share your screen..

  6. ๐ŸชŸ Choose what to share

    • ๐ŸŒ Browser Tab (Recommended- see screeshot below)  ๐ŸŽฏ Presenter View Tip: If your PowerPoint is in full slideshow mode, your Chrome tabs will be hidden behind it—making it hard to stop or pause recording. To avoid this, present your slides in Edit Mode or Reading View instead. This keeps the browser and recording controls visible during your lecture. ๐Ÿ“ Note: Clipchamp simplifies the recording process—no more manual browser configuration needed!

    • ๐Ÿ—” Window

    • ๐Ÿ–ฅ๏ธ Entire Screen (less stable, may require permissions)

  7. ๐Ÿ“‘ Select your content (e.g., PowerPoint tab) and click Share.๐ŸŽฅ If you are using the camera (e.g., PiP mode), you may see a pop-up asking for permission to access your camera through CCRI's SharePoint environment. Select "Allow while using the app" to ensure your camera displays properly and to avoid future prompts

  8. ๐ŸŽค Narrate your lecture clearly. Use Pause if needed. ๐Ÿ–ผ๏ธ Heads-up: If you go into full slideshow mode in PowerPoint, your browser tabs (including the Clipchamp recorder) will be hidden. We recommend presenting in Edit Mode or Reading View so that you can still access the recording controls.

  10. โน๏ธ Click Stop Recording. Your clip will then play automatically in the preview window.

๐Ÿงพ Step 3: Review & Save Your Recording

  1. ๐Ÿ“ฅ After uploading, Stream opens your video page.

  2. ๐Ÿท๏ธ Add a Title and Description.

  3. ๐Ÿ’ฌ Enable Captions/Transcripts under Video Settings Captions/Transcripts: Generate the auto captioning feature by first clicking on Video Settings_ Captions/Transcripts and choose English and then make sure English is toggled on and then click on  Generate. NOTE: sometimes the captions get generated automatically when the project is small.

    PLEASE NOTE: For large media files, caption generation could take several minutes. No need to wait until captions are generated to proceed with sharing. Check back to review the captioning later to ensure the cc button is present and the captions were generated successfully. If you find typos or errors, you can fix words directly within the transcript which you can find next to the video. You can edit captions directly in the transcript panel.

๐ŸŒ Choose English > toggle on > click Generate.

โณ Large files may take a few minutes.

โœ๏ธ Edit the transcript panel for accuracy and accessibility.

๐Ÿ”ง Add Chapters, enable Noise Suppression, and set a Thumbnail if desired.


๐Ÿ“ค Step 4: Share Your Video with CCRI Students

โš ๏ธ CCRI students are on a separate Microsoft tenant—sharing with Student_Guests is required to ensure student access.

  1. ๐Ÿ”— Click Share.

  2. ๐Ÿ‘ฅ Enter Student_Guestsin the add name, groups or email field (Required for student visibilityUploaded Image (Thumbnail)

Optional: Share with CCRI Faculty/Staff

  1. โ™ป๏ธ Click Share again > then Settings (โš™๏ธ gear icon).

  1. ๐Ÿซ Under "The Link Works For", select People at CCRI then click "Apply".

  2. ๐Ÿ”— Back in the Share popup, click Copy Link. The link is now copied automatcially to your clipboard and ready for Blackboard.Uploaded Image (Thumbnail)


๐Ÿ“š Step 5: Add the Stream Link to Blackboard

  1. ๐Ÿ”“ Log in to Blackboard (or open the Blackboard tab in your browser window if you already have it open)

  2. ๐Ÿ—‚๏ธ Navigate to your course > desired content area.

  5. ๐Ÿšซ Do NOT check the box for "This link is to a Tool Provider."

๐Ÿ”„ NOTE: The link opens in a new window. Students can dismiss login prompts and still view the video and transcript panel, ensuring accessibility.


๐Ÿงช Final Check in Blackboard

๐Ÿงญ Locate the newly added content item at the bottom of your Blackboard content page.

โ–ถ๏ธ Click on it to launch and verify functionality:

  • ๐Ÿ”— Make sure the video opens in a new window.

  • ๐Ÿ”“ Students may be prompted to log in but can dismiss the prompt and still view the video.

  • ๐Ÿ“ The video should display with timestamped transcripts alongside.

  • ๐Ÿ’ฌ Students can leave comments on the video to increase interaction.

โœ… This approach ensures that your video is both WCAG-compliant and aligns with OSCQR RSI (Regular and Substantive Interaction) requirements.
