Creating an Microsoft Booking Calendar

Description: Below are the instructions on how to set up an MS booking calendar through your Faculty/Staff outlook email. 

How-to Steps:

  1. Open a browser and navigate to www.ccri.edu and log into your Faculty/Staff outlook email
  2. Once in your Faculty/Staff email, select the application waffle in the top-left corner.
  3. In the drop-down menu that appears, select the "Bookings" application (You may have to select "All apps" to view it).
  4. Once Bookings opens, select the "Create New Calendar" button
  5. You can either Create from scratch or Clone from an existing calendar. 
  6. Create a name for your calendar, along with adding a logo, business type and hours.
  7. Type in the name(s) of the faculty/staff that will be available for appointments and click on "Next"
  8. At this point in the tutorial, you can create a service name, duration of the appointments, and days and hours the service is available for appointment booking. You can also select "Make it a Teams Meeting" if your appointment will be virtual. NOTE: This service information can be changed later. 
  9. This is the most IMPORTANT part, be sure to select "Anyone" at the "Choose who can book appointments" step. Otherwise only CCRI faculty and staff will be able to schedule appointments. CCRI Students and others outside the organization WILL NOT be able to schedule their own appointments if this option is not selected. 
  10. Once your calendar is created, click the "Get started" button.
  11. You will then see the calendar. The staff's availability can eb edited here and you can "Add time off" in the top right corner for vacation and holidays. 
  12. The menu on the left side of the calendar can be used to add/remove Staff, Services, and Business information. Click "Booking Page"
  13. Scroll to the "Manage your book page" section. We STRONGLY suggest checking the box to "Require a one-time password to create bookings". This will send a code to the email of the person scheduling the appointment with your team. They will then have to enter the code before finalizing the booking. This should prevent scheduling SPAM from filling up your calendar with fake appointments. You can use the information in the "Configure booking page" to embed the calendar in your webpage or email sent to the users.
