How to Allow or Disallow Student Course Access in Blackboard Ultra

Overview

Overview

Blackboard course enrollments are automatically synchronized with the Student Information System (SIS) during the add/drop period, so instructors do not need to manage routine enrollment changes manually.

However, instructors and course leaders have permission to manually enable or disable a student's course access at any time through the Roster Member Information settings by checking or unchecking Allow Access. This is similar to marking a user Unavailable in Blackboard Original.

This feature is particularly useful for managing student access after the add/drop period, such as when a student withdraws but remains on the course roster, or when temporarily restoring access for a student completing an Incomplete. Changing this setting preserves the student's existing grades, submissions, and course records without removing them from the course.

When Should You Use This Feature?

This feature may be helpful for Blackboard Course Instructors or Organization Leaders when:

  • Withdrawn Students: A student has officially withdrawn from a course but still has access to Blackboard Ultra after the add/drop period. Instructors should verify the student's official withdrawal status before disabling access.

  • Incomplete Grades: A student has been granted an Incomplete and needs additional time to finish coursework. Instructors can temporarily enable or restore course access so the student can complete outstanding assignments, then disable access when the work is finished.

  • Organizations: An organization leader needs to restrict or restore a participant's access while retaining their records.

  • Recurring Training: A training site is reused across multiple cohorts, and previous participants' access needs to be disabled while preserving their records.

How to Manage a Member's Access in Blackboard Ultra

Important! Before disallowing a member's access, instructors should verify that the member has officially withdrawn from the course through the appropriate college enrollment records.

Follow these steps to enable or disable a member's access:

Log in to Blackboard Ultra and Open the course or organization.

Once inside the course select Roster from the right hand course navigation menu to view the classlist.

PLEASE NOTE: This action can be reversed by selecting the "allow" box again to restore student access.

What Happens When Course Access Is Disabled?

Disabling course access does not delete the member or their academic records.

  • Access: The member can no longer access the course or organization.
  • Course Access: The member can no longer access the course.
  • Grades: Existing grades are retained.
  • Submissions: Previously submitted assignments and assessments remain preserved.
  • Course Records: The member's course membership and associated records are maintained.

Important
Changing a student's course access in Blackboard does not modify their official enrollment or withdrawal status in Banner. Disabling access does not remove the member from the course roster or necessarily hide the member from the Gradebook. It restricts access while preserving the member's academic information.
